How to add attachments to Jira response templates

Keep approved files and inline images with the reply that needs them, then review everything before sending.

Start with Jira’s native feature.

Jira Service Management’s native canned responses support formatted response content and variables. See Atlassian’s documented editor capabilities. If the response only needs text, links, and built-in variables, use the native feature first.

Decide whether the file is part of the answer

A reusable attachment is useful when the same controlled document accompanies the same reply: a setup checklist, data-collection sheet, approved policy PDF, or troubleshooting log template. Avoid attaching files that change frequently unless one person owns replacement and review.

Attachments and inline images serve different jobs

  • Attachments sit beside the Jira comment and are best for documents the recipient may download.
  • Inline images appear at a chosen point inside the comment and are useful for a short visual instruction or annotated screenshot.

CloseReply stores reusable media with the template on Atlassian-hosted Forge services. When the sender confirms the response, the files are copied onto the Jira work item; inline images are real Jira attachments referenced by the final comment rather than links to an external image host.

A safe publishing checklist

  1. Use a descriptive filename and remove draft or internal-only content.
  2. Confirm the intended customer can receive the file under your Jira attachment settings.
  3. Write meaningful text around an inline image so the answer remains understandable without it.
  4. Preview the image order and verify that every attachment is listed before confirmation.
  5. Replace the shared file immediately when the source policy or instructions change.

CloseReply limits

A template supports up to five reusable files, 10 MB per file and 20 MB in total. Inline images also use a five-image cap. Templates containing media remain agent-only and are not exposed in the customer-portal approval experience.

What to measure

Watch for repeated manual attachment uploads, outdated copies, and replies where the file is sent without an explanation. Those are stronger signals than attachment volume alone. The goal is not to add more media; it is to make the complete, current answer easier to send correctly.
