The risky gap between replying and finishing
Many service workflows ask an agent to post a final explanation, set a resolution-related field, and move the request to a completed status. When those steps live in separate screens, the customer can receive a closure message while the Jira work item remains open—or the item can close with a field left blank.
Use a reviewed combined flow
- Select the response that matches the outcome.
- Resolve Jira and custom-field variables against the current work item.
- Review the customer-facing reply, visibility, signature, and files.
- Review any prepared field updates and the available workflow transition.
- Confirm once, then report any failed step clearly instead of hiding partial completion.
CloseReply follows this pattern. A template can prepare Jira field values and a transition, but the current user’s Jira permissions still apply and the combined action is shown before it runs. The same approach is available from a Jira Service Management queue when several selected requests genuinely share the same response and transition.
Good candidates
- A confirmed fix followed by a Resolved transition.
- A request for more information followed by a Waiting for customer transition.
- A standard triage reply paired with a controlled categorization field.
- A bulk closure for duplicate or superseded requests after each selected item is checked.
Actions that should stay outside the template
Do not preconfigure a transition when the correct status depends on unresolved judgment, or a field value when the sender needs to investigate it. Avoid combining unrelated changes merely to save a click. The safest automation is predictable, visible, and easy to explain to the person confirming it.
Test before rollout
Use a non-production project with the same workflow. Test users with different permissions, a request where the target transition is unavailable, and an invalid field value. Confirm that the sender sees a useful error and knows which steps did or did not complete. Then document the expected action beside the template owner.
